AI Chatbot Cost for Small Business: 2026 Pricing Math

Written by , Founder, 3xRevenue. Published · 9 min read.

Most small businesses pay $32 to $150 a month for an AI chatbot, per vendor pages checked November 1, 2026. Intercom Fin instead charges $0.99 for each chat the bot closes, so that bill grows with traffic.

It is 9 PM on a Sunday. A visitor with a leaking water heater types a question into your contact form. Nobody replies. By Monday morning they have booked the company that answered first.

A chatbot can answer that question at 9 PM. The hard part is the price, because every vendor bills in a different unit. Before you compare plans, try our free AI chatbot demo to see a trained bot answer.

What four chatbot options charge in November 2026

The cheapest real plans start near $32 a month, and the most common bill sits under $150. What changes the price is the unit you pay for. Here is what each option charges on its own pricing page.

Intercom shows its Essential seat at $19 for new customers, down from $29. Tidio lists its Lyro tiers but does not show a price for each tier on the page. Check those two numbers yourself before you sign.

Credits, conversations or outcomes: which costs less?

A flat bucket of credits or conversations costs less once your chat volume is steady. Paying per outcome costs less only when you get very few chats. Each unit works like this:

  • Message credits (Chatbase). You buy a monthly bucket. Each bot reply uses credits, and some AI models use more than others.
  • Conversations (Tidio Lyro). One conversation is any chat with at least one AI reply. Ten replies in the same chat still count as one.
  • Outcomes (Intercom Fin). You pay when Fin solves a chat or hands it to a person. Each chat is charged once.
  • One-time build. You pay for setup once, then pay the AI provider for what you use.

The trap is that outcome pricing rewards the vendor when the bot does well. The better Fin gets at closing chats, the bigger your bill. A credit bucket stays the same price until you use it up.

The math for a plumbing company with 300 website chats

This is an example, not a real client. A 4-person plumbing company gets 300 website chats a month. We estimate 4 bot replies per chat, so 1,200 replies.

Our assumptions, labeled as estimates:

  • 1 Chatbase credit per reply. The Chatbase page does not define a credit, and stronger AI models may use more.
  • Fin resolves 60% of chats, so 180 outcomes a month.
  • Monthly billing, so the owner can quit after a bad month.

At 300 chats, the cheapest Chatbase setup costs about a third of the Intercom bill. The gap is $1,766 in year one. That is the 3.5 times figure from the takeaways: $2,486.40 divided by $720.

Now the payback side. Say one extra booked job a month comes from after-hours chats, and a job is worth $350 (example figure). The $60 plan pays for itself with that one job. Even the $207 plan does, if the bot books one job a month that you would have missed.

What happens to the bill when chats triple?

Flat plans barely move when traffic grows, and per-outcome plans grow in a straight line. Here is the same plumbing company at 3 volumes, with the same assumptions.

Monthly chatsReplies (x4)Cheapest Chatbase fitIntercom Fin + 1 seat (60% resolved)
3001,200About $60 (Hobby + top-ups)$207.20
9003,600$150 (Basic, 4,000 credits)$563.60
2,50010,000$500 (Business, 15,000 credits)$1,514.00

At 900 chats, Hobby plus top-ups would cost about $156 a month, so Basic at $150 wins. At 2,500 chats, Fin costs about 3 times the Chatbase Business plan. If you expect growth, price your plan at 3 times today's volume before you pick.

Tidio needs care here too. Its page lists Lyro tiers up to 1,000 conversations, then says to contact sales. Past that point, you cannot see your price before you talk to someone.

Costs that never show up in the headline price

The plan price is rarely the full bill. These extras are listed on the vendor pages, but not next to the big number.

Two costs show up on no pricing page. The first is your time: someone has to update answers when prices or hours change. The second is the bot itself. A slow site loses visitors before the chat window opens. Run a free website health check before you add a bot.

How to choose a chatbot plan without overpaying

You can pick the right plan in about an hour with your own numbers. Follow these 5 steps in order.

1. Count last month's questions

Add up form messages, chats and "quick question" emails from the last 3 months. Divide by 3. Example: 840 messages over 3 months is 280 a month. Quick check: your number should match what your inbox feels like on a busy week times 4.

2. Estimate replies per chat

Read 10 old conversations and count the back-and-forth. Example: "Do you serve my zip code?" then "When can you come?" then "How much?" is 3 replies. Quick check: most service questions take 3 to 6 replies.

3. Price two volumes, not one

Work out the bill at today's volume and at 3 times today's volume. Example: 280 chats and 840 chats. Quick check: if the bill more than triples, that pricing model does not suit a growing business.

4. Add every extra you will turn on

List branding removal, extra bots, seats and storage, and add them to each plan. Example: Chatbase Hobby at $40 becomes $139 once you remove the badge. Quick check: compare the totals, not the headline prices.

5. Test on 20 real questions before paying yearly

Feed the bot 20 questions your customers really asked and grade each answer. Example: wrong prices or made-up hours are a fail. Quick check: stay monthly until 18 of 20 answers are right. Then switch to yearly to save about 20%.

Should you rent a chatbot or have one built?

Rent a plan if you want a bot this week and your questions are simple. Have one built when it must book jobs, fill your CRM and hand hard chats to a person.

Our chatbot build is $699 one-time and goes live in 7 to 10 working days. It covers training on your site and documents, lead capture, booking and CRM connection. AI usage is billed by the provider at cost, and you get the estimate before work starts.

You can see how this works for trades on our home services chatbot page. Neither choice is right for everyone. Under 50 chats a month? A free or entry plan will show you what people ask.

FAQ

How much does an AI chatbot cost per month for a small business?

Most entry plans cost $32 to $150 a month, based on Chatbase and Tidio pricing checked November 1, 2026. Per-outcome tools like Intercom Fin add $0.99 for each resolved chat on top of a seat. Your real bill depends on how many chats you get.

Is there a free AI chatbot for small business?

Yes, with limits. Tidio gives every account 50 free Lyro conversations for life, which suits testing. Free plans run out fast once you get more than a few chats a day.

Is per-resolution pricing cheaper than a monthly plan?

Only at very low volume. In our example, 300 chats cost about $60 a month on Chatbase and $207.20 on Intercom Fin. The gap gets wider as chats grow.

What does a custom chatbot build cost?

Vendor guides quote anywhere from a few thousand dollars to over $75,000 for fully custom software. A done-for-you bot on proven AI models costs far less. Ours is $699 one-time plus AI usage at cost.

Can a chatbot book appointments and send leads to my CRM?

Yes, but entry plans often limit this. Check that the plan includes calendar booking and a CRM connection before you pay. Without those, the bot answers questions but someone still has to copy each lead by hand.

Is a chatbot worth it for your business?

A chatbot is worth it when after-hours questions turn into lost jobs. One saved job a month covers most plans. Count your chats, price them at 1 and 3 times today's volume, and add every extra. Want a bot that books jobs and fills your CRM? Book a call and we will price it with your real numbers.
